QA/Project Coordinator

Job Description:


This position provides administrative assistance to the Developmental Disability Services Department (DDS). Primary responsibility is providing supportive services to Quality Assurance staff member and DD staff. This position will also be responsible for maintaining and overseeing the department website and social media. Must be able to pass a DHS background check.

Essential Duties and Responsibilities

The following may not be all inclusive and other duties may be assigned.

01 Provide administrative support to Quality Assurance and the Leadership Team of the department

02 Assist the Case Managers in maintaining any and all records of services rendered to clients.

03 Works closely with Case Managers to ensure accurate and complete required documentation.

04 Perform numerous clerical, organizational, and office support tasks that may include filing, scanning and data entry. Assists with the preparation of reports and spreadsheets.

05 Provide back-up to Office Technician and other Coordinators.

06 Assist callers and office visitors by providing accurate information and referring them to appropriate personnel or community resources.

07 Assist in quality assurance monitoring for performance compliance of the department and staff in relation to OAR requirements for all services.

08 Assist in updating department policies and procedures.

09 Assist in distribution of and compiling information from satisfaction surveys quarterly or as needed.

10 Assist in maintenance and monitoring of the DD program QA data using multiple software or internet/cloud-based systems.

11 Support the KCDDS Director and Quality Assurance in preparation for Oregon Office of Developmental Disabilities Services (ODDS) Biennial Quality Assurance Field Reviews and with the implementation of follow-up.

12 Collaborates with DD Deputy Director on the coordination and implementation of Community Outreach activities.

13 Assist with open, thinned, closed charts of clients which includes creating new charts, thinning files and filing documentation.

14 Assist Case Managers with completing agency and ODDS reporting, data, and financial forms

15 Maintain DDS website and department social media platforms.

16 Alternate to Provider Support Coordinator in adjusting Plan of Care (POC) with PSW credential changes.

17 Alternate to Provider Support Coordinator in troubleshooting PSW payment issues, assist PSW with timesheets, providing training on using timesheet entry system

18 Establish and maintain appropriate professional demeanor and boundaries at all times.

19 Fulfill responsibility as a mandatory abuse reporter.

20 Maintain client confidentiality.

21 Other duties as assigned.

Education and/or Experience

01 High school diploma or general education degree (GED).

02 Minimum of three (3) years clerical experience.

03 General knowledge of database management, web-based software programs, Adobe, Microsoft Office Software, and Web maintenance software is required.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have knowledge of Excel Spreadsheet software and Word Processing software. Requires extensive computer experience and ability to utilize computer efficiently and independently.

Certificates, Licenses, Registrations

01 Valid Oregon Driver's License.

Other Skills and Abilities

Multitasking is essential and excellent computer skills required.

Other Qualifications

Excellent customer service skills.

Experience with multi-line phone system.

Experience with electronic medical records, electronic health records and/or other health information related technology is preferred.

The noise level in the work environment is usually loud.

Work Schedule

The normal work schedule is 8 hours per day 5 days per week; exact schedules are assigned by management. It is the attendance standard of the employer that all employees be present and on time each shift they are scheduled to work. Full or partial absence during any scheduled shift, arriving late, or leaving early, for whatever reason, may result in disciplinary action up to and including termination of employment. Time off may be approved if allowed by applicable policies covering illness, injury, or other personal emergency.
