We're HIRING NOW for a Hiring Support Specialist I! This role is based at our beautiful Corporate offices in downtown Medford, OR.

Hiring Support Specialist I

The Hiring Support Specialist I is responsible for providing support and assistance to the Recruiting Team by performing functions and activities in the Workday Human Capital Management (HCM) System and all related hiring duties.

He/she must display a high level of integrity, professionalism and adhere to strict confidentiality. Additionally, the Hiring Support Specialist I must be able to interact professionally with all levels of management and business partners.

The Hiring Support Specialist I reports to the Hiring Support Supervisor.

Position Overview

Area of Responsibility

  • Possess a thorough knowledge of all Recruiting Department hiring processes, procedures and methodologies.
  • Ensure all compliance associated with the company's hiring practices.
  • Ongoing review and maintenance of processes and procedures to ensure consistent application and accuracy.
  • Complete the following functions in the HCM platform:
  • Track candidate progress through the recruiting workflow
  • Monitor and update individual candidate progress Omnia, Wonderlic, WOTC and SHL/CEB
  • Monitor candidate completion of background checks, motor vehicle records and drug screens
  • Review candidate driving records and make recommendations as needed for Restricted or Abstain from Driving Agreements.
  • Send and monitor individual candidates through the onboarding process
  • Manage candidate completion and compliance of Form I-9 Section 1
  • Effectively communicate daily/weekly candidate updates to Recruiter, Hiring Manager, and others as needed
  • Extend the positive onboarding experience by sending a Welcome email to every new employee.

  • Run weekly/monthly reports through Workday platform.
  • Complete audits of individual systems as directed by supervisor.
  • Establish and maintain on-going communication with assigned Recruiting team members.
  • Create, facilitate and maintain a seamless transition between applicants and talent representatives to ensure a complete positive hiring experience for the applicant/candidate/new employee.
  • Must be able to work independently but refer any escalated issues to the Hiring Support Supervisor.
  • Other duties and complete special projects, as assigned.
  • Assist with other Recruiting/Employee Relations duties as requested.

Additional Qualifications

The following knowledge, skills and abilities are needed to be successful in this position:

  • Proficient in Microsoft Office Suite
  • Strong attention to detail and sense of urgency
  • Excellent communication skills both written and oral
  • Team Attitude-ability to work effectively in cross-functional teams.
  • Resourceful, energetic, optimistic with a "can do" attitude.
  • Time Management - ability to prioritize workload and manage one's own time
  • Strong interpersonal skills, including diplomacy and tact
  • System administration skills - ability to work with system issues not visible to end user
  • Technologically inclined - able to understand and communicate at a common level
  • Prior experience working in a Human Resource role or department is a plus.
  • Experience working with confidential information.
  • Associates degree or equivalent is a plus.

Lithia Hiring Requirements

  • High school graduate or equivalent.
  • 18 years or older
  • Possess an acceptable driving record and valid driver's license in state of residence
  • A criminal history background check will be conducted prior to beginning employment
  • Clear pre-employment drug screen
