DEQ has a centralized policy and planning component and regional offices to accomplish its mission. There are 3 regions (Northwest, Western, and Eastern); this position is in Western Region. The Regions provide the following services: compliance inspection of regulated entities; enforcement of permit requirements and administrative rules; issuance of air, water, and solid waste permits; investigation of complaints; issuance of subsurface permits in counties; response to spills or other incidents with environmental impacts; direct contact and liaison with other governmental entities, industries, and the public; and technical assistance to regulated entities and the public. The Oregon Department of Environmental Quality (DEQ) currently has an opening for an Office Specialist (Office Specialist 2) in Medford, Oregon. The Office Specialist provides clerical and administrative support for the Western Region Medford Office. You will answer phone calls; receive, log, and refer complaints to appropriate technical program staff; type correspondence and reports; enter and track detailed program information into various databases, ensuring compliance with Agency report deadlines; ensure adequate office supplies are procured and at hand; process time sheets for staff; maintain ongoing records for staff; maintain office petty cash fund; coordinate file reviews for the public; manage copy jobs for the public and DEQ staff; enter into and maintain the asbestos notification database; log and distribute air permit reports and permit issuance timeliness reports; and perform invoicing as needed. Through coordination and scheduling with other Medford support staff, you will ensure there is general receptionist and support coverage, including general mail delivery and routing during working hours, and providing back-up to the other support staff as needed. What are we looking for? 2 years of general clerical experience, 1 year of which included typing, word processing, or other experience generating documents. Experience entering data and maintaining databases; experience with Microsoft Office products (Word, Excel, and Outlook). Experience with records management. Excellent verbal and written communication skills, interpersonal skills, and time management skills. High aptitude for learning new things and an ability to pay attention to detail. Ability to work on tight deadlines in environments with shifting priorities and demands.
